What to Do When Your Payment Is Missing
If you provided services but haven't received payment, follow these steps to resolve the issue.
Step 1: Check Your eBilling Portal
Log into the eBilling portal at https://ebilling.dds.ca.gov:8378/login to check your invoice status. The portal shows:
- Invoices you submitted
- Payment status (pending, approved, paid)
- Payment dates
- Payment amounts
Step 2: Verify You Submitted Your Invoice Correctly
Common reasons for payment delays:
Missing invoice: You must submit an invoice through the eBilling portal. NLACRC processes payments from submitted invoices only.
Wrong fiscal year: Make sure you submitted the invoice for the correct fiscal year.
Incomplete information: Your invoice needs all required fields completed.
Missed deadline: Check that you submitted before the fiscal year deadline.
Step 3: Confirm Your Enrollment Status
You must be enrolled in the eBilling system before NLACRC processes payments. If you're a new vendor or haven't enrolled yet:
- Request an enrollment form from the accounting department
- Complete and submit the form
- Wait for your credentials
- Set up your eBilling portal access
Step 4: Contact the Accounting Department
If you confirmed you submitted your invoice correctly and you're enrolled in the system, contact your assigned accounting staff member.
Find your accounting contact in the "How to Contact the Right Staff Member" article. Your contact depends on your vendor name's first letter.
What Information to Provide
When you contact accounting about a missing payment, have this information ready:
- Your vendor name and number
- Service dates
- Invoice number (from the eBilling portal)
- Invoice amount
- Date you submitted the invoice
Resolution Timeline
The accounting department will review your issue and respond within 2 business days. Payment processing depends on the next scheduled payment run.
Holiday Schedule
NLACRC does not process payments on observed holidays. This affects payment timing if a scheduled payment date falls on or near a holiday.
